Divided dolphin societies unite

A unique social division among a population of bottlenose dolphins in Australia's Moreton Bay has ended, according to a new study.

The dolphins lived as two distinct groups that rarely interacted, one of which foraged on trawler bycatch.

But scientists think that a ban on fishing boats from key areas has brought the two groups together.

They believe these socially flexible mammals have united to hunt for new food sources together.

The findings are published in the journal Animal Behaviour.

Dolphin see, dolphin do?

Bottlenose dolphins have large brains and quickly learn new behaviours. Using a wide range of sounds to communicate with other members of the group, or "pod", they have been observed showing remarkable individual and social intelligence:

  • One for the team: watch how a single dolphin peels off from the pod to shepherd the mullet into the open mouths of the group
  • Bubble trouble: initially cautious of the new shapes created by the bubble machine, you can see how quickly the inquisitive dolphins turn this experiment into a game
  • Mirror, mirror on the wall: from the reaction of these dolphins to their own reflection, scientists believe the animals have a developed sense of self
  • Thinking out cloud: see how these dolphins off the Florida coast have developed a unique hunting strategy for the shallows off the Florida coast

The Moreton Bay dolphins were thought to be the only recorded example of a single population that consisted of groups that were not associating with each other in a split dubbed "the parting of the pods".

But since the study that discovered the rift, trawlers have been banned from designated areas of the bay leading to a 50% reduction in the fishing effort.

A key area of the bay to the south, where the social split was observed by the previous study, has been protected.

The changes gave scientists a unique opportunity to observe the adaptability of dolphin society.

The "trawler" dolphins from Moreton Bay had previously fed on the bycatch from boats while the "non-trawlers" found other sources of food.

"There's never been really any experiments looking at social structure... where you can compare what it was like before and what it is like now," said Dr Ina Ansmann, marine vertebrate ecologist, University of Queensland, and the study's lead author.

Analysing how the population interacted before and after trawling meant the team could assess how the dolphins' social network had changed.

"The dolphins had basically re-arranged their whole social system after trawling disappeared so they're now actually interacting again," Dr Ansmann told BBC Nature.

The scientists identified individual dolphins by the marks on their dorsal fin and recorded which animals were associating with which.

"Each dolphin has small injuries like nicks and notches, cuts and things like that on the fin so they all have a very unique looking dorsal fin."

This technique meant that Dr Ansmann could observe changes in behaviour, in some cases down to the individual dolphins which had been studied in the 1990s to reveal the original division.

One of those males is now fully integrated into a single community.

"Presumably they're sharing information, co-operating and things like that."

Dolphins operate in what is called a fission-fusion society, forming groups and then splitting up to form different groups.

Through complex communication and social intelligence, bottlenose dolphins often work as a team when hunting for food and Dr Ansmann believes this may be what lies behind the unification.

"When relying on natural food sources I guess it's more important for them to interact with others, or to learn from others, or to co-operate with others to get to these food sources," she said.

The results suggest that a flexible social structure may be an important factor in how dolphins exploit a wide range of resources in the marine environment.

SHOULDERING THE BLAME

The U.S. men's gymnastics team faltered as a team in Monday's finals. But John Orozco thinks he's to blame.

"I feel personally responsible. I did five events and I botched two," he said after the fifth-place finish.

Orozco said he messed up on both the vault ? "If you saw, I fell on my butt" ? and the pommel horse, where "I did so poorly, it counted as if I fell twice."

Sam Mikulak says no one member of the American team was at fault for the performance.

"He's definitely being too hard on himself," Mikulak said, adding the team still showed it is young and improving and "will be a force in Rio."

ANY MEDAL COUNTS

Kristian Thomas finished his floor routine confident he'd done enough to give Britain its first men's gymnastics team medal in 100 years.

But he was too nervous to look.

After his score was posted, and the arena erupted in cheers, he finally glanced over and saw his team had claimed the silver medal.

And then it was gone.

A protest by the Japanese pushed them from fourth to second, knocking Britain down to bronze.

Thomas didn't care.

"We didn't quite get it in our hands, so we never really had it," he said. "Bronze, in our home games, is still absolutely amazing. If someone had told me at the start of the day we'd win a medal, I would have taken that straight away."

MORE ON THE FENCING DRAMA

Sports cliches are easy to come by, but nail-biting does not begin to sum up the drama at the Olympics women's epee.

During a semi-final match, South Korea's Shin A-lam lodged an appeal against a controversial decision by referees.

She and her opponent, Britta Heidemann of Germany, had played three times for the winning point, each time with just one second left on the clock. This itself left many spectators wondering: for just how long can you string out one second?

It was during the third "second" that Heidemann scored the winning point. The South Korean coach started an appeal process that lasted an hour, apparently arguing that the win was scored out of time. All the while, Shin refused to leave the piste as by doing so she would accept defeat.

Referees eventually called it in favor of the German.

The crowd, however, overwhelmingly showed support for Shin and many gave her a standing ovation as she left the arena. Shin returned just minutes later for the bronze-medal match but after an early lead fell to defeat. Each time she scored, though, she received much applause and some foot-stamping. The crowd gave her yet another standing ovation as she bowed out.

Previously during her hour-long appeal she had sobbed uncontrollably before the 8,000-strong auditorium.

MULTIPLE EXPOSURE PHOTO

Check out this multiple exposure photo of Canadian weightlifter Annie Moniqui, shot Monday by AP's Hassan Ammar.

Working with the latest cameras allows for very sophisticated multiple exposure technology. Photographers can now do something that in the days of film was very difficult if not impossible.

It's the digital equivalent of not advancing the film and allowing a sequence of several exposures to appear in the same frame.

The multiple images are captured at split-second intervals, buffered and then saved in one file. The camera is able to recalculate what needs to happen for the image to come out making visual sense.

Brazilian basketball legend Oscar Schmidt visited the U.S. men's basketball practice on Monday and was somewhat surprised he was recognized by players too young to have seen him play. Schmidt scored nearly 50,000 points during his career. He never played in the NBA, however, he made his mark on American hoops by almost single-handedly beating the U.S. at the 1987 Pan American Games in Indianapolis.

Schmidt led Brazil to a win over an American team featuring David Robinson and Danny Manning.

There was some debate among U.S. reporters Monday about Schmidt's point total before he was asked.

"I scored 46," he said, "35 in the second half."

"That was always the case," he said laughing.

There's no gold medal for technology, but if there were, Jonny Ive would be a world champion.

The Apple vice president, the design guru behind the iPhone and iPod, attended a London summit Monday aimed at using the London Olympics to boost Britain's creative industries. The U.K. hopes to secure about 1 billion pounds ($1.6 billion) in deals.

"The creative industries are an integral part of the U.K'.s economic success and future growth," Culture Secretary Jeremy Hunt says.

Hunt was also at a reception hailing British design along with the country's most glamorous royal, the Duchess of Cambridge, previously known as Kate Middleton.

FENCING DRAMA

Big drama at the women's epee semi finals in the fencing.

The South Korean team staged an official protest after Shin A-lam lost in the semifinals, claiming the match was already over when opponent Britta Heidemann of Germany scored the winning point.

Shin and Heidemann were tied at 5-5 when the German seemed to score in the final second.

A jury spokesman said it would "take a while to come to a decision in this delicate situation."

In the meantime, Shin was not allowed to leave the strip and sat, in tears, waiting for a decision.

STILL BIG IN WEYMOUTH, BY GEORGE

King George III is still a popular figure in Weymouth, the English Channel resort hosting Olympic sailing.

Seems that the monarch, best known in the United States for losing the American colonies, helped put Weymouth on the map with his summer visits from 1789 to 1805 for therapeutic saltwater dips.

There's a statue of the monarch on one end of the Esplanade, the walkway and road that run parallel to the beach. The inscription reads: "The grateful inhabitants to George The Third on his entering the 50th year of his reign."

A more interesting image of the king is called the Osmington White Horse. Carved into a chalk cliff outside of town, the giant image shows the king riding a horse. It can be seen for miles, including from the sailing courses on Weymouth Bay.

Legend has it that despite the carving being intended as a compliment, the king was offended because it showed him riding away from town, and he never returned.

Soldiers dancing in conga lines, bikini-clad cheerleaders, spectators stacking plastic beer cups in tottering towers ? is anyone watching actual Olympic beach volleyball?

Even spectators taking in a match Monday between the men from Great Britain and Brazil were distracted by activity in the stands at central London's Horse Guards Parade.

As rival sections of the arena competed to build the largest beer cup tower, jumbo screens showed troops joining a conga line around the 15,000 seat venue.

Even those watching the sandy court faced distractions, including dancers in skimpy outfits who performed during each major break in play.

After his father died of brain cancer a year ago, teenage diver Tom Daley went into the Olympics determined to win a medal "for myself and my dad."

The 18-year-old Briton missed out in his first event on Monday, finishing fourth in the 10-meter synchronized platform with teammate Pete Waterfield.

What made it worse for Daley was the response from one Twitter user.

"You let your dad down i hope you know that," (at)Rileyy69 tweeted.

Daley retweeted the abuse and said: "After giving it my all...you get idiot's sending me this."

There was an immediate outcry, with users tweeting: (hash)GetRileyy_69Banned.

Surprisingly Good Evidence That Real Name Policies Fail To Improve Comments

YouTubeIconYouTube has joined a growing list of social media companies who think that forcing users to use their real names will make comments less of a trolling wasteland, but there's surprisingly good evidence from South Korea that real name policies fail at cleaning up comments. In 2007, South Korea temporarily mandated that all websites with over 100,000 viewers require real names, but scraped it after it was found to be ineffective at cleaning up abusive and malicious comments (the policy reduced unwanted comments by an estimated .09%). We don't know how this hidden gem of evidence skipped the national debate on real identities, but it's an important lesson for YouTube, Facebook and Google, who have assumed that fear of judgement will change online behavior for the better.

White House says more economic growth needed for hiring

WASHINGTON (Reuters) - A top White House official stressed on Friday that the U.S. economy continues to grow despite a tepid second quarter, and acknowledged faster expansion was needed to stoke more hiring.

"While the economy continues to move in the right direction, additional growth is needed to replace the jobs lost in the deep recession that began at the end of 2007," Alan Krueger, chairman of the Council of Economic Advisers, said in a statement.

The U.S. economy grew at 1.5 percent in the second quarter, the weakest pace since the third quarter of 2011. Though the figure was in line with market expectations, sluggish growth and stubbornly high unemployment may threaten President Barack Obama's re-election chances in November.

Romney small business backers accept government help also ...

Richmond, Va. (WTVR)?In the midst of a Romney campaign offensive targeting President Obama?s recent remarks about entrepreneurs, CBS 6 has learned several of the local businesses highlighted in the campaign have benefited from government assistance.

?When I heard the ?you didn?t build that comment? on television, I thought I surely must have misheard something,? said Richmond small business owner Melissa Ball at a stump event this week. ?President Obama is wrong- Americans do build their own businesses, and we deserve a president who believes that as well.?

Republicans have keyed in on Mr. Obama?s remarks- offered during a July 13 speech in Roanoke- that tied small business success to a combination of personal ingenuity and government assistance.

Ball criticized the president for shortchanging small business owners, who she believes thrive on business acumen, will and savvy- not government aid.

Yet public records indicate that Ball received a $52,000 government contract for her office supply business, Ball Office Products, in 2001. She also secured an SBA-backed loan of $635,000 earlier this year, according to the web site Usaspending.gov.

Ball did not return several phone calls from CBS 6 on Thursday.

At the Romney Victory Headquarters in Fredericksburg, VA, the Republican Party Victory Chairman Pete Snyder responded to questions about whether Ball, and other business owners critical of President Obama who?ve accepted government loans and contracts, are hypocrites.

?Money doesn?t magically appear from Washington D.C.,? said Snyder, ?it comes from the pockets of every single person in America, and it?s fueled mostly by entrepreneurs. So how is that hypocritical??

Snyder drew a clear distinction between believing in a ?limited role for government,? and taking issue with the president?s comments.

?I think it?s terrific we have the SBA,? declared Snyder. ?But government doesn?t create business, entrepreneurs do!?

State Delegate Chris Head, R-Roanoke, owns two offices of ?Home Instead Senior Care,? a national franchise with more than 900 locations throughout the country.

On Wednesday, the Romney camp used Head?s Roanoke office for one of its 24 ?We Did Build This? campaign events.

Head acknowledged to CBS 6 by phone Thursday that he?s used SBA-backed loans, and that a small portion of his revenue?less than 10 percent- comes from government contracts with the Department of Veteran Affairs.

But Head vehemently disagreed that his use of government loans or contracts undermines his criticism of the president.

?The only thing an SBA loan does is give you, in essence, a co-signer so that if everything goes south, and everything is liquidated, including the personal assets of the person who took out the loan, then the government might be able to step in and repay that,?said Head.

He called reaction to the president?s ?you didn?t build that? remarks among the small business community one of ?universal disdain? and a slap in the face.

Democrats, on the other hand, believe their Republican counterparts are missing the point.

?There were 18 tax cuts that have helped small businesses under the Obama Administration,? said Delegate Jennifer McClellan, D-Henrico, ?and stimulus money has helped some small business owners gain access to capital that they otherwise wouldn?t have received.?

With regard to business owners receiving government loans and contracts, McClellan added, ?I think they would have to admit that?s helped them along the way.?

SEATTLE (AP) - Salvaging a 2-5 road trip somehow felt extremely rewarding for Joe Girardi.

It's not the standard the New York Yankees manager wants to play to. But considering how the rest of their West Coast swing had gone, putting together a late rally on Wednesday was important, especially with the hated Red Sox waiting Friday night at home.

"After losing five games by a total of six runs, to be able to win a series going into an off day was important," Girardi said. "Two-and-five is not what we want on a road trip, but we won the second series and it'll be a happier flight home."

Pinch-hitter Jayson Nix lined a three-run double off reliever Shawn Kelley in the eighth inning, and the Yankees rallied for the 5-2 win over the Seattle Mariners.

After the Yankees failed to come through with runners in scoring position earlier in the game, Nix finally produced a clutch hit. Kelley left a 2-2 pitch over the middle of the plate and Nix's liner scored Derek Jeter, Robinson Cano and Mark Teixeira. It was Nix's first hit in eight at-bats during the Yankees' trip.

"We kind of struggled all day to get something going and it feels good to come through," Nix said. "Whenever I get my chances, whenever they are, I just hope to do something positive and to be able to come through today was good."

Nix probably will see increased playing time with Alex Rodriguez sidelined for a month or more because of a fractured left hand. Nix and Eric Chavez, who started at third base on Wednesday, are the likely candidates to handle the position until Rodriguez returns.

Nix was called on to pinch-hit for Raul Ibanez, who was 0-for-3 on the day. Seattle countered with Kelley out of the bullpen after reliever Josh Kinney opened the inning by hitting Jeter on the thigh, and Lucas Luetge (1-1) loaded the bases with singles to Cano and Teixeira.

Luetge got Curtis Granderson to foul out behind third for the first out. Once Nix was announced as the pinch-hitter, Seattle manager Eric Wedge called on Kelley, who has now allowed runs in three of his last four appearances. Russell Martin added a two-out RBI single off Kelley, who finally escaped the inning by getting Ichiro Suzuki to ground out.

Nix is 2-for-3 this season as a pinch-hitter.

"Really all I wanted to do was hit a sac fly. I didn't want to do too much. I just wanted to get one run," Nix said. "I think that helped because I wasn't trying to do too much."

David Phelps (2-3) threw 1 1-3 innings of relief and struck out two to get the victory, but the entire Yankees pitching staff held Seattle's meager offense in check. Starter Ivan Nova struggled with his control, walking a career-high six, and gave up just two hits. Clay Rapada and Phelps bridged the sixth and seventh innings, David Robertson cruised through the eighth and Rafael Soriano pitched the ninth for his 26th save in 28 chances.

Seattle got just one hit after Jesus Montero's broken-bat single with one out in the first inning - Casper Wells dumped a two-out single off Soriano in the ninth. Both Seattle runs scored in the first on Kyle Seager's 10-pitch bases loaded walk and Mike Carp's fielder's choice.

"You're asking a lot of your pitching staff to hold those guys down for that many innings," Wedge said. "We almost squeezed by ... but ultimately you can't play it that tight against a veteran offensive club like that."

Jeter homered in the first inning, his eighth of the season, off Hisashi Iwakuma. But the Yankees missed chances in the fourth and fifth innings before Nix's clutch hit in the eighth.

Seattle honored Suzuki before his first at-bat. With Suzuki back in the leadoff spot on Wednesday, the Mariners played a video montage of Suzuki highlights before flashing up the message "Ichiro: Thanks for all the thrills." Suzuki acknowledged the standing ovation by tipping his helmet around the stadium before grounding out to second leading off the game.

Wednesday could be Suzuki's final appearance in Seattle. His contract expires after the season and the Yankees do not make another trip to the Pacific Northwest this season.

"I didn't really show it but inside I was going through some emotional times, but it was very special these last few days. Definitely emotional inside," Suzuki said through his interpreter.

NOTES: Jeter's homer in the first was his 1,823 run scored, moving him into sole possession of 15th place. ... Nova failed to record an out in the sixth inning. Turkey blocks trucking with Syria, rebels fight on

BEIRUT (AP) ? Turkey sealed its border with Syria to trucks on Wednesday, cutting off a vital supply line to the embattled nation as fighting stretched into its fifth day in Aleppo, Syria's largest city.

By stopping trucking across the 566-mile (911-kilometer) border, the move deprives Syria of a main route for imports and exports. Rebels fighting the regime of President Bashar al-Assad generally move their weapons and material over the border through clandestine smuggler routes.

Hayati Yazici, the Turkish Customs and Trade Minister, said the move came after rebels captured two border crossings between Syria and Turkey. Last week, dozens of Turkish trucks were either looted or burned when the rebels took the Bab al-Hawa crossing.

An alliance of rebel forces attacked Aleppo, Syria's commercial hub, on Saturday, infiltrating sympathetic neighborhoods in the north and south and then gradually moving towards the historic old city at the center, a UN world heritage site.

The Britain-based Syrian Observatory for Human Rights reported more than two dozen people killed in fighting yesterday in Aleppo and large numbers of people fleeing the southern neighborhood of Sukkari Wednesday morning.

Activist video from Wednesday showed a burning police station in the southern neighborhood of al-Kelassa, while gunfire could be heard ringing out in the background. The Associated Press cannot independently confirm events portrayed in such videos posted online.

A fish friendly facility for the International Space Station

ScienceDaily (July 25, 2012) ? While aquariums provide a relaxing pastime for humans on Earth, recreation is not the goal behind the new Aquatic Habitat, or AQH, aboard the International Space Station. Instead, researchers will use this unique facility to look at how microgravity impacts marine life.

Sponsored by the Japanese Space Agency, or JAXA, this habitat is a closed-water circulatory system, which provides a new facility option for station research. Scientists will use the habitat to study small, freshwater fish on orbit. For the first investigations, they plan to examine the Medaka (Oryzias latipes) fish.

Scientists have multiple studies planned to look at the impacts of radiation, bone degradation, muscle atrophy, and developmental biology. The investigations could last up to 90 days and provide data that may lead to a better understanding of related human health concerns here on Earth.

"We think studies on bone degradation mechanisms and muscle atrophy mechanisms are applicable to human health problems, especially for the aging society," said Nobuyoshi Fujimoto, associate senior engineer at JAXA's Space Environment Unitization Center.

Medaka fish are ideal specimens for many reasons. They are transparent, making it easy to view the inner workings of their organs. They also breed quickly and easily in microgravity environments, enabling multi-generation studies. Researchers can take advantage of a variety of genetic modifications to these fish, as well. Finally, scientists already have all of the Medaka genome identified, which makes it easier to recognize any alterations to the fishes' genes, due to factors like space radiation.

The habitat will reside in the Japanese Experiment Module, or JEM, which is also known as Kibo, or "hope" in Japanese. It will attach to a multipurpose small payload rack for power and housing. The AQH launched on July 20, with the third Japanese H-II Transfer Vehicle, or HTV cargo vehicle flight, also called Konotouri.

This facility includes an improved water circulation system that monitors water conditions, removing waste while ensuring proper pressure and oxygen flow rates. The system's design upgrades are based on lessons learned from previous habitats that flew on space shuttle missions STS-47, STS-65, and STS-90.

"In order to keep water quality in good condition for the health of the fish, we had to do many tests on the filtration system, especially the bacteria filter," said Fujimoto. "The special bacteria filter purifies waste materials, such as ammonia, so that we can keep fish for up to 90 days. This capability will make it possible for egg-to-egg breeding aboard station, which means up to three generations may be born in orbit. This would be a first for fish in space."

This habitat will provide automatic feeding for the fish, air-water interface, temperature control, and a specimen sampling mechanism. There will be two chambers for habitation, each sized at 15 by 7 by 7 cm, holding about 700 cc water and a stabilized area for oxygen that will enable fish to "peck" air. LED lights will simulate day and night cycles, while two video cameras record images of the fish to downlink to the ground, upon request.

The air-water interface design also makes it possible for the AQH to potentially house amphibians in future studies, though currently planned investigations only use fish. Small plastic plates at the upper side of each aquarium use a grid structure to trap a small amount of air, injected by the crew at the start of an investigation. The design, which was tested using parabolic flights, prevents the water from escaping into the microgravity environment.

When researchers are ready for the fish to participate on orbit, they will travel in a special transport container to the station, where the crew will then install them within the habitat for observation. While the AQH is not specifically an aquarium, hopefully the crew will enjoy a sense of relaxation in viewing the fish as they go about their duties aboard the orbiting laboratory.

Let?s begin, then, at the beginning: As you start to design your presentation, you must ask yourself, ?What do I want to accomplish by making this presentation??

Establishing the Objectives

For any successful presentation, you must know your objectives. It is these objectives that drive your presentation and move the audience to your end goals. Your end goals may be that the attendees take a particular action, adopt a new perspective, or respond to facts and information. Establishing these goals requires careful planning. The key to designing your presentation is determining these objectives. After all, they become the foundation upon which your content, organization, and visual aids are built.

Establishing the objectives for your presentation requires an analysis of your own goals, as well as your audience?s needs and expectations. By considering the nature of your audience, you can more easily determine what you will present and how you will present it. An audience analysis will enable you to:

  • Select appropriate points of emphasis in your presentation
  • Develop a useful level of detail
  • Choose and prepare appropriate visual aids
  • Create a tone that is sensitive to your audience?s circumstance

Your presentation will ideally form a bridge between something you have and your audience wants. Let the audience analysis influence the form of information presented so you can create this bridge.

Planning and Organizing Your Material

When you have determined the characteristics of your audience, then you are ready to plan and organize your material. The tips listed below will assist you in tailoring your approach accordingly. Keep in mind that the use of visual aids will help to produce effective one-way or two-way communication. Many factors are involved in choosing these visual aids, and the type of interaction you want to develop with the audience will influence your choice.

Planning Your Material

  • Do not wait to prepare your presentation while on you way to the training session. You cannot do your best at presenting or persuading by ?winging it.?
  • At a minimum, prepare an outline of goals, major issues to be discussed, and information to be presented to support main themes.
  • Limit content to your major point and no more than five key supporting points.
  • Analyze your audience. Prepare your content considering such things as whether they are likely to be friendly or unfriendly, lay or technical in their background, and whether they want only to listen or to respond and contribute.
  • Select appropriate visual aids and a presentation style that will be effective in the physical setting for your training session.

Organizing Your Material

When organizing your material, consider an ?old chestnut? of public speaking ? ?Tell ?em what you?re going to tell ?em; tell ?em; and tell ?em what you told ?em.? This recommendation:

  • Recognizes the importance of reinforcement in adult learning
  • Completes the communication for the listener
  • Informs people who arrive late of what they missed
  • Recognizes the importance of organization, highlighting, and summarizing main points for the audience

Using Visual Aids

Visual aids help your presentation make things happen. Visual aids help you reach your objectives by providing emphasis to whatever is being said. Clear pictures multiply the audience?s level of understanding of the material presented, and they should be used to reinforce your message, clarify points, and create excitement.

Visual aids involve your audience and require a change from one activity to another: from hearing to seeing. When you use visual aids, their use tends to encourage gestures and movement on your part. This extra movement reinforces the control that you, the speaker, need over the presentation. The use of visual aids, then, are mutually beneficial to the audience and you.

Visual aids add impact and interest to a presentation. They enable you to appeal to more than one sense at the same time, thereby increasing the audience?s understanding and retention level. With pictures, the concepts or ideas you present are no longer simply words ? but words plus images. The chart below cites the effectiveness of visual aids on audience retention.

People tend to eye-minded, and the impacts visual aids bring to a presentation are, indeed, significant. The studies, below, reveal interesting statistics that support these findings:

  • In many studies, experimental psychologists and educators have found that retention of information three days after a meeting or other event is six times greater when information is presented by visual and oral means than when the information is presented by the spoken word alone.
  • Studies by educational researchers suggest that approximately 83% of human learning occurs visually, and the remaining 17% through the other senses ? 11% through hearing, 3.5% through smell, 1% through taste, and 1.5% through touch.
  • The studies suggest that three days after an event, people retain 10% of what they heard from an oral presentation, 35% from a visual presentation, and 65% from a visual and oral presentation.

The use of visual aids, then, is essential to all presentations. Without them, the impact of your presentation may leave the audience shortly after the audience leaves you. By preparing a presentation with visual aids that reinforce your main ideas, you will reach your audience far more effectively, and, perhaps, continue to ?touch? them long after the presentation ends.

ADDING THE VISUAL DIMENSION

Visuals add an important dimension to a presentation, and you, the speaker, must capitalize on this dimension. It is critical that you prepare visual aids that reinforce your major points, stimulate your audience, and work well in the physical setting of your presentation.

Visual aids and audio-visuals include a wide variety of communication products, including flip charts, overhead transparencies, slides, audio-slide shows, and video tapes. Demonstrating a process or simply passing around a sample of some equipment or model are also effective way to clarify messages visually. If visual aids are poorly selected or inadequately done, they will distract from what you are saying. The tips listed below will help you in the selection and preparation of visual aids.

Tips on Preparing Visual Aids

  • Start with at least a rough outline of the goal and major points of the presentation before selecting the visual aid(s). For example, a particular scene or slides may trigger ideas for the presentation, providing the power of images. Do not proceed too far without first determining what you want to accomplish, what your audience wants to gain, and what the physical setting requires.
  • Each element of an audio-visual product ? a single slide or a page of a flip chart presentation, for example, ? must be simple and contain only one message. Placing more than one message on a single image confuses the audience and diminishes the potential impact of visual media. Keep visual aids BRIEF.
  • Determine the difference between what you will say and what the visual aid will show. Do not read straight from your visuals.
  • Ask the audience to read or listen, not both; visual aids should not provide reading material while you talk. Rather, use them to illustrate or highlight your points.
  • Give participants paper copies of various graphic aids used in your presentation. They will be able to write on the paper copies and have them for future reference.
  • Assess your cost constraints. An overhead transparency presentation can always be used in a formal environment if 35 mm slides are too expensive.
  • Account for production time in your planning and selection process. Slides must be developed, videotape edited ? you do not want to back yourself against a wall because the visuals are not ready. You can often get production work done in 24-48 hours, but it is much more expensive than work that is done on an extended schedule.
  • Use local photographs and examples when discussing general problems and issues. While a general problem concerning welding safety, for example, may elude someone, illustrating with a system in use at the site can bring the issue home.
  • Use charts and graphs to support the presentation of numerical information.
  • Develop sketches and drawings to convey various designs and plans.
  • When preparing graphics, make sure they are not too crowded in detail. Do no over-use color. See that line detail, letters, and symbols are bold enough to be seen from the back of the room.
  • Do not use visual aids for persuasive statements, qualifying remarks, emotional appeals, or any type of rhetorical statement.
  • If you have handouts, don?t let them become a distraction during the presentation. They should provide reinforcement following your address. Consider giving them out after the presentation, unless the audience will use them during the presentation or will need to review them in advance of the presentation.
  • Practice presenting the full program using graphic materials so you are familiar with their use and order. If you use audio-visual materials, practice working with them and the equipment to get the timing down right.
  • Seek feedback on the clarity of your visuals and do so early enough to allow yourself time to make needed adjustments.

The question of what to use and how to choose is an excellent one. The next several pages will help you answer this question by identifying the advantages and limitations of each type of visual, as well as the development techniques required in preparing each. By looking at these pros and cons, you can more easily decide what will work best for your presentation.

Flip charts are quick, inexpensive visual aids for briefing small groups. The charts, felt-tip markers and graphic materials are readily available, and with a modest ability at lettering, the presenters can compose the desired visual aid in-house.

Flip Charts:

  • Help the speaker proceed through the material
  • Convey information
  • Provide the audience with something to look at in addition to the speaker
  • Can be prepared prior to, as well as during, the presentation
  • Demonstrate that the speaker has given thought to his or her remarks
  • Can be used to record audience questions and comments
  • Can be converted to slides

Limitations:

  • May require the use of graphics talent
  • Are not suitable for use in a large audience setting
  • May be difficult to transport

When Developing Flip Charts:

  • Each sheet of paper should contain one idea, sketch, or theme.
  • Words, charts, diagrams, and other symbols must be penned in a large enough size to be seen by people farthest from the speaker.
  • In general, make each letter at least 1/32? high for each foot of distance from the material. For example, a 1-inch letter is legible from 32 feet, and a 2-inch letter from 64 feet. Divide the distance from the back of the room to the visual by 32 to determine the minimum size of letters.
  • Use block lettering, since it is easiest to read. Use all capital letters, and do not slant or italicize letters.
  • Use and vary the color. Also, check from a distance to make sure the color works well and is not distracting.

Overhead transparencies are useful for audience settings of 20 to 50 people and can be produced quickly, easily, and inexpensively. Any camera-ready artwork, whether word charts, illustrations, or diagrams can be made into transparencies using standard office paper copiers.

  • Most manufacturers of paper copiers offer clear and colored acetate sheets that run through copying machines like paper, but transfer a black image into acetate for use as overhead transparencies.
  • The standard transparency size is 8=? x 11?. The only piece of hardware required is an overhead transparency projector.
  • Overlay transparencies provide a good cumulative presentation.
  • Speaker can use an overhead projector with significant light in the room, thereby enabling the speaker to maintain eye contact with the audience.

Limitations:

  • The projected image size is sometimes too small to be seen from the back of a large room.
  • Often, the image does not sit square on the screen, as the head of the projector is tilted to increase the size of the image.
  • It is difficult to write on the transparency while it is on the projector.
  • Sometimes the projector head gets in the audience?s way.
  • Some speakers feel captive to the machine, because they must change each transparency by hand.

When Developing Overhead Transparencies:

  • To add color, simply cut a piece of colored acetate gel, available at art stores, to the shape and dimensions needed to highlight a particular part of a transparency. The second (or third) color is taped to the edges of the transparency with clear tape, or glued over an area with clear invisible adhesive such as spray adhesive.
  • Permanent and/or water-soluble ink color marker pens are available for use in hand-coloring parts of an overhead transparency.
  • Overhead transparencies can be developed during a presentation by marking on acetate sheets with water-soluble or permanent transparency pens. The same approach can be used to add information to existing transparencies. In both cases, a damp tissue can be used to wipe information off a transparency that has been marked with water-soluble ink.
  • When removing a transparency from the machine during the presentation, slide the next immediately underneath it to achieve a smooth transition. Don?t leave the screen blank with the light on.
  • A 45-degree angle to the audience is the most effective location for an overhead projector and screen. This provides for the least obstructed view. Ideally, set the projector on a table lower than the surrounding tables or platforms to make it less imposing.
  • Transparencies with too much information ? especially typed pages designed for a printed piece and transferred to acetate ? are confusing. Keep transparencies simple.
  • When typing words for transparencies, use bold typing elements such as HELVETICA and capitalize.
  • Consider making use of a laser printer that can produce good quality transparencies in a variety of bold type styles. These printers, coupled with desktop or portable personal computers are widely available, and prices have dropped significantly. The quality of type and variety of type styles make this a superior option when compared with transparencies done on an office typewriter. If resources permit, color printers are also available.

Posters are prepared graphic devices that can be made of a variety of materials and media ? photographs, diagrams, graphs, word messages, or a combination of these. Posters work best in smaller audience sizes.

  • Posters are permanent and portable.
  • Posters can be simple or very elaborate.
  • Posters can be used alone or in a series to tell a story.

Limitations:

  • Posters tend to contain too much detail.
  • Transporting them can be difficult.
  • The more elaborate posters require extensive preparation and can be quite costly.

When preparing posters:

  • Each poster should contain one message or theme.
  • Words, charts, diagrams, and other symbols must be penned in a large enough size to be seen by everyone in the room.
  • Use all capital letters, and do not slant or italicize letters.
  • Use and vary the color. Also, check from a distance to make sure the color works well and is not distracting.

35 mm slides enliven a presentation for virtually any size audience. They can project a professional image, are relatively inexpensive to produce, and if necessary, can be produced quickly.

  • Slides have high credibility with audiences because viewers looking at photographic slides taken in the field often feel that seeing is believing.
  • The only hardware required is a slide projector and a screen. Slide programs are easy to package in slide trays.
  • Changes in slides or in their sequencing can be done rapidly to meet changing conditions or audiences.

Limitations:

  • Slides cannot be made using a photocopying machine. Therefore, they require more time and money to produce than overhead transparencies.
  • The lights must be dimmed more for slides than for overhead transparencies.
  • Slides require a great deal of preparation and rehearsal.

When Developing a Slide Presentation:

  • Use the outline or text of your talk to note places for appropriate visuals.
  • The best slide programs often mix field photographs with slides of charts, graphs, and other supporting images.
  • Catalog and categorize slides, and place a date, location, and other relevant information on each slide.
  • Vendors can make word slides and illustrations by computer, though they tend to be costly.

Audio-slide shows are self-contained programs having pre-recorded sound tracks that are coordinated with slides by use of electronic synchronizers. The recording tape includes electronic signals that activate a connected slide projector so that an image appears simultaneously with the appropriate voice message, music or sound effects. Audio-slide programs can serve audiences ranging from a handful to a couple of hundred people.

  • For a fraction of the cost of films, audio-slide programs can achieve many of the same program needs.
  • They can impart considerable information because color and a wide array of audio-techniques and visual images can be used.
  • If multiple projectors are used with dissolve units that allow images to ?fold? into one another, even a sense of movement can be created.
  • They usually can be produces in-house, equipment is accessible, and they offer a presenter the flexibility of changing slides to meet the needs of specific audiences.

Limitations:

  • Time must be allotted for developing script, sound-track, title and credit slides, visuals, and for production.
  • Each presentation requires securing and assembling proper equipment synchronizer, tape recorder, projector(s), screen(s).
  • Good maintenance must be given to slides so that a warped slide doesn?t malfunction and throw off an entire presentation.

When Developing a Program:

  • Identify all components to the program and possible resources to assist in developing these components (e.g., photo lab, recording studio, slide library, graphic artists, a person who has prepared similar programs).
  • Make an initial contact with resource personnel to see what services they can provide, time frames and their scheduling requirements.
  • Develop a tentative production schedule.
  • Prepare a script or a story board and carry this script with you.
  • Photograph or borrow slides of scenes that emphasize your points. Also, gather charts, drawings, books, or other resource materials pertinent to the subject which may be photographed or reproduced graphically as slides.
  • Keep images to one message per frame.
  • Test-run the slide-tape show with enough time to replace slides that are unclear.
  • Secure permission to use commercial or otherwise copyrighted music or material.
  • Keep credit slides to a minimum and use simple design for clarity.

Videotape electronically carries both a picture and a sound track. Its features of sound, movement, vivid image, color, and variety hold an audience?s attention the way film does. Videotape can be used to program an entire presentation, or to support a speaker?s remarks by highlighting certain topics.

Limitations:

  • Videotape productions can be expensive to create and require experienced production teams.
  • In large meetings, the audience may not be able to see the monitor. (If resources permit, video projectors are available.)

When Developing Videotape:

  • Practicing with the equipment by filming, as well as showing, is the best way to overcome hesitancies about its use.
  • To cover the basics if you are brand new to video use, budget yourself a one hour session with an experienced video producer, whether amateur or professional. University extension programs and the local cable T.V. station are good places to check for a no-cost session. Discuss your ideas. Your budget will determine whether you should tape on your own or have a professional make the videotape.
  • Composing and editing a 15-minute video production can easily consume dozens of hours whether you do all of the work or contract to have part of it done. In order for this kind of investment to pay off, it usually means that the final product should be viewed by a large audience or multiple audiences. Consider the facilities available before choosing to use videotape.

TESTING THE DESIGN OF YOUR PRESENTATION

When you have prepared the visuals you want to use in your presentation, you must practice using them. Do a practice run in full, preferably with someone you know well and with someone you do not know well. Alternatively, use a video or audio tape recorder, or a mirror.

If you are making a group presentation, do a complete practice run in full. A practice run will ensure that each presentation builds on the previous one and that all the points are covered. These colleagues can also provide valuable feedback. The tips below will help you make the most out of your practice runs:

  • Seek feedback at the point when you have your material well organized but not committed to memory. This will enable any needed changes to be incorporated easily.
  • This feedback should include an evaluation of the presentation?s length, logic, clarity, and interest level; the speaker?s rate of delivery, voice level, and conversational pattern; and the usefulness of the visual aids.

Once you are satisfied with the content of your presentation, make sure that the technical supports are in place or lined up:

  • Check with the meeting organizer to make sure the equipment you need will be there.
  • If at all possible, arrive at the location of your presentation an hour early to check your equipment and room arrangements. Practice using your visuals with the equipment provided. Make sure that you know where the on/off switch is and make arrangements to have the lights dimmed, if necessary.

Rehearsal is a fundamental step in developing and refining effective presentations. Practicing your presentation and working closely with the meeting organizer to secure the necessary technical supports will assist you in making a smooth performance.

In this discussion, evaluation plays a recurring theme. You must evaluate the appropriateness of the visual aids. You must evaluate how best to prepare them. You must evaluate their effectiveness in your practice run. Adding the visual dimension to a presentation is key to ensuring the presentation?s overall success and evaluation plays an important role in choosing and effectively using visual aids.

Training sessions should be designed so that sufficient time is allocated to not only present the information but also to allow for questions and review of materials as needed. The trainer needs to provide an environment in which participants feel sufficiently comfortable in order to ask questions and make comments. Asking questions and discussing aspects of a training program can clarify information and reinforce important learning objectives.

OSHA is concerned that the training information presented must be understood by the employee; otherwise the training will not be effective. Therefore, employers must include training material that is appropriate in content and vocabulary to the educational, literacy and language background of employees. This will ensure that all employees, regardless of their cultural or education background will receive adequate training on how to eliminate or minimize their occupational exposure.

Planning and Organizing Your Material

When you have determined the characteristics of your audience, then you are ready to plan and organize your material. The tips listed below will assist you in tailoring your approach accordingly. Keep in mind that the use of visual aids will help to produce effective one-way or two-way communication. Many factors are involved in choosing these visual aids, and the type of interaction you want to develop with the audience will influence your choice.

Planning Your Material

  • Do not wait to prepare your presentation while on you way to the training session. You cannot do your best at presenting or persuading by ?winging it.?
  • At a minimum, prepare an outline of goals, major issues to be discussed, and information to be presented to support main themes.
  • Limit content to your major point and no more than five key supporting points.
  • Analyze your audience. Prepare your content considering such things as whether they are likely to be friendly or unfriendly, lay or technical in their background, and whether they want only to listen or to respond and contribute.
  • Select appropriate visual aids and a presentation style that will be effective in the physical setting for your training session.

Organizing Your Material

When organizing your material, consider an ?old chestnut? of public speaking ? ?Tell ?em what you?re going to tell ?em; tell ?em; and tell ?em what you told ?em.? This recommendation:

  • Informs people who arrive late of what they missed

Visual aids help your presentation make things happen. Visual aids help you reach your objectives by providing emphasis to whatever is being said. Clear pictures multiply the audience?s level of understanding of the material presented, and they should be used to reinforce your message, clarify points, and create excitement.

Visual aids involve your audience and require a change from one activity to another: from hearing to seeing. When you use visual aids, their use tends to encourage gestures and movement on your part. This extra movement reinforces the control that you, the speaker, need over the presentation. The use of visual aids, then, are mutually beneficial to the audience and you.

Visual aids add impact and interest to a presentation. They enable you to appeal to more than one sense at the same time, thereby increasing the audience?s understanding and retention level. With pictures, the concepts or ideas you present are no longer simply words ? but words plus images. The chart below cites the effectiveness of visual aids on audience retention.

People tend to eye-minded, and the impacts visual aids bring to a presentation are, indeed, significant. The studies, below, reveal interesting statistics that support these findings:

  • In many studies, experimental psychologists and educators have found that retention of information three days after a meeting or other event is six times greater when information is presented by visual and oral means than when the information is presented by the spoken word alone.
  • Studies by educational researchers suggest that approximately 83% of human learning occurs visually, and the remaining 17% through the other senses ? 11% through hearing, 3.5% through smell, 1% through taste, and 1.5% through touch.
  • The studies suggest that three days after an event, people retain 10% of what they heard from an oral presentation, 35% from a visual presentation, and 65% from a visual and oral presentation.

The use of visual aids, then, is essential to all presentations. Without them, the impact of your presentation may leave the audience shortly after the audience leaves you. By preparing a presentation with visual aids that reinforce your main ideas, you will reach your audience far more effectively, and, perhaps, continue to ?touch? them long after the presentation ends.

ADDING THE VISUAL DIMENSION

Visuals add an important dimension to a presentation, and you, the speaker, must capitalize on this dimension. It is critical that you prepare visual aids that reinforce your major points, stimulate your audience, and work well in the physical setting of your presentation.

Visual aids and audio-visuals include a wide variety of communication products, including flip charts, overhead transparencies, slides, audio-slide shows, and video tapes. Demonstrating a process or simply passing around a sample of some equipment or model are also effective way to clarify messages visually. If visual aids are poorly selected or inadequately done, they will distract from what you are saying. The tips listed below will help you in the selection and preparation of visual aids.

Tips on Preparing Visual Aids

  • Start with at least a rough outline of the goal and major points of the presentation before selecting the visual aid(s). For example, a particular scene or slides may trigger ideas for the presentation, providing the power of images. Do not proceed too far without first determining what you want to accomplish, what your audience wants to gain, and what the physical setting requires.
  • Each element of an audio-visual product ? a single slide or a page of a flip chart presentation, for example, ? must be simple and contain only one message. Placing more than one message on a single image confuses the audience and diminishes the potential impact of visual media. Keep visual aids BRIEF.
  • Determine the difference between what you will say and what the visual aid will show. Do not read straight from your visuals.
  • Ask the audience to read or listen, not both; visual aids should not provide reading material while you talk. Rather, use them to illustrate or highlight your points.
  • Give participants paper copies of various graphic aids used in your presentation. They will be able to write on the paper copies and have them for future reference.
  • Assess your cost constraints. An overhead transparency presentation can always be used in a formal environment if 35 mm slides are too expensive.
  • Account for production time in your planning and selection process. Slides must be developed, videotape edited ? you do not want to back yourself against a wall because the visuals are not ready. You can often get production work done in 24-48 hours, but it is much more expensive than work that is done on an extended schedule.
  • Use local photographs and examples when discussing general problems and issues. While a general problem concerning welding safety, for example, may elude someone, illustrating with a system in use at the site can bring the issue home.
  • Use charts and graphs to support the presentation of numerical information.
  • Develop sketches and drawings to convey various designs and plans.
  • When preparing graphics, make sure they are not too crowded in detail. Do no over-use color. See that line detail, letters, and symbols are bold enough to be seen from the back of the room.
  • Do not use visual aids for persuasive statements, qualifying remarks, emotional appeals, or any type of rhetorical statement.
  • If you have handouts, don?t let them become a distraction during the presentation. They should provide reinforcement following your address. Consider giving them out after the presentation, unless the audience will use them during the presentation or will need to review them in advance of the presentation.
  • Practice presenting the full program using graphic materials so you are familiar with their use and order. If you use audio-visual materials, practice working with them and the equipment to get the timing down right.

  • In general, make each letter at least 1/32? high for each foot of distance from the material. For example, a 1-inch letter is legible from 32 feet, and a 2-inch letter from 64 feet. Divide the distance from the back of the room to the visual by 32 to determine the minimum size of letters.
  • Use block lettering, since it is easiest to read. Use all capital letters, and do not slant or italicize letters.
  • Use and vary the color. Also, check from a distance to make sure the color works well and is not distracting.

Overhead transparencies are useful for audience settings of 20 to 50 people and can be produced quickly, easily, and inexpensively. Any camera-ready artwork, whether word charts, illustrations, or diagrams can be made into transparencies using standard office paper copiers.

  • Most manufacturers of paper copiers offer clear and colored acetate sheets that run through copying machines like paper, but transfer a black image into acetate for use as overhead transparencies.
  • The standard transparency size is 8=? x 11?. The only piece of hardware required is an overhead transparency projector.
  • Overlay transparencies provide a good cumulative presentation.
  • Speaker can use an overhead projector with significant light in the room, thereby enabling the speaker to maintain eye contact with the audience.

Limitations:

  • The projected image size is sometimes too small to be seen from the back of a large room.
  • Often, the image does not sit square on the screen, as the head of the projector is tilted to increase the size of the image.
  • It is difficult to write on the transparency while it is on the projector.
  • Sometimes the projector head gets in the audience?s way.
  • Some speakers feel captive to the machine, because they must change each transparency by hand.

When Developing Overhead Transparencies:

  • To add color, simply cut a piece of colored acetate gel, available at art stores, to the shape and dimensions needed to highlight a particular part of a transparency. The second (or third) color is taped to the edges of the transparency with clear tape, or glued over an area with clear invisible adhesive such as spray adhesive.
  • Permanent and/or water-soluble ink color marker pens are available for use in hand-coloring parts of an overhead transparency.
  • Overhead transparencies can be developed during a presentation by marking on acetate sheets with water-soluble or permanent transparency pens. The same approach can be used to add information to existing transparencies. In both cases, a damp tissue can be used to wipe information off a transparency that has been marked with water-soluble ink.
  • When removing a transparency from the machine during the presentation, slide the next immediately underneath it to achieve a smooth transition. Don?t leave the screen blank with the light on.
  • A 45-degree angle to the audience is the most effective location for an overhead projector and screen. This provides for the least obstructed view. Ideally, set the projector on a table lower than the surrounding tables or platforms to make it less imposing.
  • Transparencies with too much information ? especially typed pages designed for a printed piece and transferred to acetate ? are confusing. Keep transparencies simple.
  • When typing words for transparencies, use bold typing elements such as HELVETICA and capitalize.
  • Consider making use of a laser printer that can produce good quality transparencies in a variety of bold type styles. These printers, coupled with desktop or portable personal computers are widely available, and prices have dropped significantly. The quality of type and variety of type styles make this a superior option when compared with transparencies done on an office typewriter. If resources permit, color printers are also available.

Posters are prepared graphic devices that can be made of a variety of materials and media ? photographs, diagrams, graphs, word messages, or a combination of these. Posters work best in smaller audience sizes.

  • Posters are permanent and portable.
  • Posters can be simple or very elaborate.
  • Posters can be used alone or in a series to tell a story.

Limitations:

  • Posters tend to contain too much detail.
  • Transporting them can be difficult.
  • The more elaborate posters require extensive preparation and can be quite costly.

When preparing posters:

  • Each poster should contain one message or theme.
  • Words, charts, diagrams, and other symbols must be penned in a large enough size to be seen by everyone in the room.
  • Use all capital letters, and do not slant or italicize letters.
  • Use and vary the color. Also, check from a distance to make sure the color works well and is not distracting.

35 mm slides enliven a presentation for virtually any size audience. They can project a professional image, are relatively inexpensive to produce, and if necessary, can be produced quickly.

  • Slides have high credibility with audiences because viewers looking at photographic slides taken in the field often feel that seeing is believing.
  • The only hardware required is a slide projector and a screen. Slide programs are easy to package in slide trays.
  • Changes in slides or in their sequencing can be done rapidly to meet changing conditions or audiences.

Limitations:

  • Slides cannot be made using a photocopying machine. Therefore, they require more time and money to produce than overhead transparencies.
  • The lights must be dimmed more for slides than for overhead transparencies.
  • Slides require a great deal of preparation and rehearsal.

When Developing a Slide Presentation:

  • Use the outline or text of your talk to note places for appropriate visuals.
  • The best slide programs often mix field photographs with slides of charts, graphs, and other supporting images.
  • Catalog and categorize slides, and place a date, location, and other relevant information on each slide.
  • Vendors can make word slides and illustrations by computer, though they tend to be costly.

Audio-slide shows are self-contained programs having pre-recorded sound tracks that are coordinated with slides by use of electronic synchronizers. The recording tape includes electronic signals that activate a connected slide projector so that an image appears simultaneously with the appropriate voice message, music or sound effects. Audio-slide programs can serve audiences ranging from a handful to a couple of hundred people.

  • For a fraction of the cost of films, audio-slide programs can achieve many of the same program needs.
  • They can impart considerable information because color and a wide array of audio-techniques and visual images can be used.
  • If multiple projectors are used with dissolve units that allow images to ?fold? into one another, even a sense of movement can be created.
  • They usually can be produces in-house, equipment is accessible, and they offer a presenter the flexibility of changing slides to meet the needs of specific audiences.

Limitations:

  • Time must be allotted for developing script, sound-track, title and credit slides, visuals, and for production.
  • Each presentation requires securing and assembling proper equipment synchronizer, tape recorder, projector(s), screen(s).
  • Good maintenance must be given to slides so that a warped slide doesn?t malfunction and throw off an entire presentation.

When Developing a Program:

  • Identify all components to the program and possible resources to assist in developing these components (e.g., photo lab, recording studio, slide library, graphic artists, a person who has prepared similar programs).
  • Make an initial contact with resource personnel to see what services they can provide, time frames and their scheduling requirements.
  • Develop a tentative production schedule.
  • Prepare a script or a story board and carry this script with you.
  • Photograph or borrow slides of scenes that emphasize your points. Also, gather charts, drawings, books, or other resource materials pertinent to the subject which may be photographed or reproduced graphically as slides.
  • Keep images to one message per frame.
  • Test-run the slide-tape show with enough time to replace slides that are unclear.
  • Secure permission to use commercial or otherwise copyrighted music or material.
  • Keep credit slides to a minimum and use simple design for clarity.

Videotape electronically carries both a picture and a sound track. Its features of sound, movement, vivid image, color, and variety hold an audience?s attention the way film does. Videotape can be used to program an entire presentation, or to support a speaker?s remarks by highlighting certain topics.

Limitations:

  • Videotape productions can be expensive to create and require experienced production teams.
  • In large meetings, the audience may not be able to see the monitor. (If resources permit, video projectors are available.)

When Developing Videotape:

  • Practicing with the equipment by filming, as well as showing, is the best way to overcome hesitancies about its use.
  • To cover the basics if you are brand new to video use, budget yourself a one hour session with an experienced video producer, whether amateur or professional. University extension programs and the local cable T.V. station are good places to check for a no-cost session. Discuss your ideas. Your budget will determine whether you should tape on your own or have a professional make the videotape.
  • Composing and editing a 15-minute video production can easily consume dozens of hours whether you do all of the work or contract to have part of it done. If you are making a group presentation, do a complete practice run in full. A practice run will ensure that each presentation builds on the previous one and that all the points are covered. These colleagues can also provide valuable feedback. The tips below will help you make the most out of your practice runs:

  • Seek feedback at the point when you have your material well organized but not committed to memory. This will enable any needed changes to be incorporated easily.
  • This feedback should include an evaluation of the presentation?s length, logic, clarity, and interest level; the speaker?s rate of delivery, voice level, and conversational pattern; and the usefulness of the visual aids.

Once you are satisfied with the content of your presentation, make sure that the technical supports are in place or lined up:

  • Check with the meeting organizer to make sure the equipment you need will be there.
  • If at all possible, arrive at the location of your presentation an hour early to check your equipment and room arrangements. Practice using your visuals with the equipment provided. Make sure that you know where the on/off switch is and make arrangements to have the lights dimmed, if necessary.

Rehearsal is a fundamental step in developing and refining effective presentations. Practicing your presentation and working closely with the meeting organizer to secure the necessary technical supports will assist you in making a smooth performance.
